Every company has dozens of different processes. Many of them can be automated or streamlined using low-cost, in-house developed applications. We designed one such application for Ayvens, and Power Apps can similarly simplify the operations of other companies.
From Excel to automation
Company Ayvens (until May 2024 ALD Automotive) is one of the leading providers of operating leases for passenger cars and light commercial vehicles. It has approximately 27,000 vehicles under its management.
Their service Ayvens Flex serves companies looking for an efficient and convenient solution to cover short-term mobility. The demands for maximum flexibility and trouble-free use of vehicles make it necessary to manage the current pool of vehicles, including reservations and related services (car cleaning, servicing, etc.).
These records must be easily accessible to the pool administrator and to the traders who offer the service to clients. The records are then linked to the company's EPR system where the standard processes required to provide all services to clients take place.
Although, or perhaps because, this record-keeping agenda is not very complex, Ayvens was looking for a more modern, practical and efficient solution than an excel spreadsheet.
Power Power Apps
Ayvens uses licenses Microsoft 365, and so ORBIT built the solution design on the Power platform (specifically on the tools Power Apps a Power Automate) and on SharePoint drawing data from internal databases. What were the advantages?
- Rapid development - Instead of complex coding, we used Power platform technology.
- Customization and extensibility - the customer can intuitively edit the application and developers can further extend it.
- Automation of internal processes - users can rely on a clear and fully automated system (including notifications).
- Integration into MS Teams - Users will find the app in both the mobile and desktop versions of Teams.
- Security - application security is guaranteed by the M365 environment.
- Use of valid M365 licenses - it makes sense for a company to take full advantage of the entire Microsoft 365 ecosystem.

How the Power App for Ayvens works
Thanks to the application developed by ORBIT, Ayvens dealers can filter available vehicles from a dedicated pool. They then reserve a specific vehicle for the client until the contract is signed and the vehicle is returned.
Before the end of the booking period, merchants will be notified that their booking will be forfeited without further action. During the process, specifically defined groups of people also receive notifications of changes to the status of the vehicle.
The app also draws data from the ERP system, so users have contracts and up-to-date vehicle status information without having to manually update anything. The app also allows you to export reports to PDF (for clients) or export a list of available vehicles to Excel (for dealers).
Power Apps in your company
Power Apps are used to manage orders, inventory, employee personal data or even to reserve parking spaces in front of the company headquarters (as we can confirm ourselves).
At Ayvens, the booking app has proved its worth. The application administrator (a non-IT advanced user) is therefore already working (with a little help from internal IT) to further improve and expand the application. without our assistance.
